Printing Your Entries

Customize a printout of your Entries in a Page or Table format

Print out a record of your Entries in a page or table format, while selecting the information and images you would like to include.

The page view is an excellent way to present a full-page record of your Entry or Entries. 

To print a page view of your Entry or Entries:

  • In your Entry or Folder, select your Action Menu in the upper-right corner.
  • Click Print and select Pages.
Selecting Print > Pages from the All Entries screen. This will generate a page setup to easily print all of your Entries. Select individual Entries, multiple Entries, or Folders to customize the Entries you would like to print!
  • On the Page Setup screen, you can select the properties, or fields, of data you would like to include. Your frequently selected fields will appear under the Common tab.  To see all available fields, select All. Fields that have no data, or are empty, will not appear as options to select. 
  • The Page Setup screen is also where you'll select your option for Images. Choose to include your Entry's Primary Photo Only, All Photos, or No Photo.
The Page Setup screen enables you to select your fields and images. As you make your selections, a preview will appear on the right. To include all available fields in either tab, select All
  • When your Page Setup preview looks correct, select Print in the upper-right corner.

In your Print Dialog box, there should be a Destination dropdown box. If you would like to save your document as a PDF, select the Destination dropdown and click Save as PDF.

There is a current known bug that ignores the default print margins while using a Chrome browser. As a temporary workaround, you can select More Settings and set Custom Margins on all sides to 0.4". In the example below, the margins have been set to 0.4" on the bottom and right side. To set the top and left margins, click the dotted blue line and drag inward. Selecting Save will save these print margin settings on CatalogIt.

In the Print Dialog box, you can select Portrait or Landscape for your page layout.

 

The table view is a useful way to view your Entry data in a compact format. Like the page view, you are able to select the fields you would like to include, with frequently used appearing in the Common tab, and all available fields appearing in the All tab. 

To print a table view of your Entry or Entries:

  • In your Entry or Folder, select your Action Menu in the upper-right corner.
  • Click Print and select Table.
  • The table view offers options for including:
    • The thumbnail of your Primary Image
    • Internal QR Code
    • Internal URL
    • HUB QR Code
    • HUB URL
The Page Setup screen of the Print Table view. Users of your CatalogIt account can scan the Internal QR Code to pull up the Entry information within CatalogIt. If your Entry is published to the HUB, users and the general public can scan the HUB QR Code to view the published HUB page! 
  • The Page Setup screen enables you to select your fields and choose if you would like sections of fields to be presented as separate columns or combined columns. Clicking the toggle button Off will display the fields as separate columns. Clicking the toggle button On will combine the fields into one column.
In this example, the toggle for the Artwork Details section is Off. The Medium and Subject fields within Artwork Details are displayed as separate columns.

  • When your Page Setup preview looks correct, select Print in the upper-right corner.

In your Print Dialog box, there should be a Destination dropdown box. If you would like to save your document as a PDF, select the Destination dropdown and click Save as PDF.

Download as an Excel or CSV File

If you would like to export your table as an Excel or CSV file, click the cloud icon in the upper-right corner and select Download Excel or Download CSV. The file will be downloaded to your chosen location on your device!
