Bulk Editing Entries

Bulk editing allows you to quickly update multiple records at once in CatalogIt. Instead of opening and editing entries individually, you can apply changes to up to 50 records at the same time from a set of selected entries or search results.

This is useful when making consistent updates across a group of objects, such as correcting a field value, assigning a location, or updating status information.

This article walks through how to bulk edit entries in CatalogIt.

 

How to Bulk Edit Entries

  1. Select the records you want to update.
    1. Use the Select mode from the Action Menu, or click the checkbox in the upper left-hand corner of each Entry's thumbnail.
  2. Click the Edit Pencil in the top right corner.
  3. Find the field to edit.
    In the Bulk Edit panel, choose the field you want to update, such as Location, Category, Collection, or another field available for bulk edit.
  4. Enter the new value.
    Add or select the value that should be applied to all selected entries.
  5. Apply the update.
    Click Save to apply the edit across the selected records.

Note: You may notice that some fields are marked with a Lock symbol; this means that not all of the records you have selected share that property. Depending on your level of access, you can click on the lock to unlock it. If you would like all of the selected entries to share that field, click the “X” to remove this property from the records that currently reference it, then add it back, and it will then be applied to all selected records.

Once complete, the selected entries will all reflect the updated field value.

Bulk editing is helpful when you need to update up to 50 records at a time with the same information.

  • Category
  • Catalogued By
  • Relationships
  • Location
  • Exhibition Relation
  • Intake
  • Loan Out
  • Inventoried
  • Shipping Container
  • Insurance Details
  • Deaccession
  • Conservation 
  • Photograph Type
  • Medium 

Bulk editing saves time and reduces the risk of inconsistent data across records.

 

Tips for Best Results

  • Review your selected records before applying changes.
  • Start with small batches if you're making large updates.
  • Double-check field values to avoid unintended edits.
  • If you need to update more than 50 records, set your Sort Order in advance to numerical or alphabetical, so it will be easy to remember where you are at as you proceed.
