Add images, PDFs, audio, and video, and download your original files

Tell the story of your collection through images, photographs, videos, audio recordings, and documents. 

There is no limit to the number or size of images and files you can add to an Entry or Profile. Keep in mind that uploading numerous, higher quality images, like TIFFs, can quickly use up the allotted storage of your account — uploading JPEG versions can save significantly on storage space, and are often much easier to share and publish. 

What types of files and images can I upload to CatalogIt?

You can currently upload virtually any type of file to an Entry or Profile including, but not limited to:

  • JPEG
  • PNG
  • TIFF
  • GIF
  • RAW
  • SVG
  • STL
  • OBJ
  • DWG
  • Excel (.xlsx)
  • Word (.docx)
  • PowerPoint (.pptx)
  • PDF
  • MP4
  • MP3
  • WAV
  • MOV
  • AVI

Once uploaded to CatalogIt, your original file is securely stored and can be downloaded in its original form from within your account. While CatalogIt processes and renders many file types to view within the software, some file types, such as OBJ, DWG, and SVG, must be downloaded and viewed from within your own device's viewer.

Adding Images and Files

Images and files can be uploaded when you first create an Entry or Profile, or when editing an Entry or Profile.

To create a new Entry and add images or files, click the orange circle +  in the lower-right corner of the screen to bring up your media options.

  • Photo — Add a photo from your device. 
  • File — Add a file from your device. This includes audio, video, and PDF files. You can upload virtually any type of file to CatalogIt, which will save the original file. Most audio and video files can be played back within the CatalogIt app!
  • No Media — Create your Entry without adding any media. You can always edit your Entry and add media later!
  • If you are working on your phone or tablet, there is the option to select Camera to take a photo or video! If it is your first time taking a photo in the app, you will likely need to enable permissions for the app to the access your camera. 
     
Working on your phone or tablet? Tap Camera to take a photo! The photo will be saved directly to CatalogIt, saving space on your device!

To add images or files to an existing Entry or Profile, head to your Entry or Profile and click the edit pencil icon to enter edit mode. If there are already images or files attached to the Entry or Profile, a rectangular area will appear near the bottom of the page, where you can click or drag and drop your files.

Additionally, you can add images and files within edit mode by clicking the image and file icons that appear within a light gray task bar at the bottom of the screen.

Can I bulk upload or import my images?

There is not yet a system for users to bulk upload or import images, but we plan to implement one in the future. If you send us your images, we'll be happy to upload them for you! Just make sure that the image file names correspond to an Entry by using the exact Entry name or the Entry ID.

Editing an Image

Once you've uploaded your images, you can set the primary thumbnail and edit the image by centering, cropping, rotating, or zooming in or out!

To edit an image, head to the Entry or Profile and click the edit pencil icon to enter edit mode.

Within edit mode, select the image that you would like to edit. 

Clicking an image in edit mode brings up a box within the image with options to edit image, delete the image, move the image in between others, and move the image to the bottom or top of the set.

Click the edit pencil icon to load the photo editor.

Rotate the image by clicking the circular arrow icon, or crop the image by selecting the square crop icon. To zoom in or zoom out of the image, click the corresponding magnifying glasses. 

Cropping an image. Once you've selected the area on the image, click the check mark to complete the action. To discard changes, select the X.

After completing your edits, select Done in the upper-right corner to save your work!

Adding a Caption and Using the AI “Describe Image" Assistant

Write a caption for your image and utilize our AI “Describe Image” assistant to create simple or detailed descriptions of your images!

To add a caption and description for your image, head to the Entry or Profile and click the edit pencil icon to enter edit mode.

Within edit mode, there are fields for Caption and Image Description below each image. You can choose to write your own caption and image description, or you can utilize our AI “Describe Image” assistant by clicking the page icon in the Image Description field.

Click the page icon to bring up the AI Image Description builder.

The Describe Image Assistant builder has a field to optionally provide some context to your image, such as information like “side view of sculpture”. 

Select the word count of your description:

  • Short — 20 word description
  • Long — 100 word description
  • Custom —10-200 word description

Once you're ready, select Describe, and the AI assistant will analyze the image!

Confirm that your generated description is correct. The description may end mid-sentence in order to fulfill your selected word count, so ensure that it completely captures your required information. 

After you have completed any necessary edits, click Save in the upper-right corner.

The first field of information is an optional caption that provides information about the image. The Describe Image Assistant generated a description of the object in the photograph, along with a transcription of the object's manufacturer's label.

Downloading Your Image or File

CatalogIt stores your images and files in their original, unaltered format. You can download them to any device by following these steps:

  • Select the Entry or Profile to which the file is attached.
  • Click on the image or file you would like to download.
  • In the upper-left corner, click Original to download the original file. You can also click the down arrow to bring up an option to download your image as one of the following sizes or formats:
    • Original
    • Original as JPG
    • Large
    • Small
    • Thumbnail
