Using the Museum Deaccession Profile

Learn how to deaccession an item from your collection

Deaccessioning an item from your collection is an important process that requires accurate recording of data. Utilize the Deaccession Profile to capture your information and link it to your entry.

The Deaccession Profile

The first step to deaccessioning an Entry is to create a Deaccession Profile. The Deaccession Profile is where you record all of the information related to your deaccession. 

Creating a Deaccession Profile

  • Select your Main Menu.
  • Select Profiles.
  • Select Deaccession.
  • Select the Create New Deaccession button, or the + in the upper-right corner.

  • The only required field is the Name field. Input a name or number for your deaccession according to your organization's standards.
  • Select Save in the upper-right corner.

Deaccessioning an Entry

After creating your Deaccession Profile, you will deaccession an Entry by editing the Entry and linking it to the Deaccession Profile. 

  • Navigate to the Entry you are deaccessioning.
  • Select the edit pencil icon in the upper-right corner.
  • Select the Deaccession section.
  • Input the name or number of your Deaccession Profile.
  • Enter any relevant notes in the Note field.
  • Select Save in the upper-right corner.
  • Your Entry will appear linked in your Deaccession Profile.

Create a Folder or Folder Group for your Deaccessioned Entries

Your deaccessioned Entries will still appear on your All Entries screen. To easily track your deaccessioned Entries, it may help you to create a Deaccessioned Folder. If you periodically Deaccession items in bulk, you may even want to create a Deaccessioned Folder Group, with Folders indicating each batch of deaccessioned items, such as “Spring 2025 Deaccessions”
