The option to publish to the HUB is included with all subscribed CatalogIt accounts, but we need to enable it on the back-end before you can utilize it. To begin publishing to the HUB, please reach out to us at support@catalogit.app and we'll be happy to enable that for you!

Account Profile

Once we've enabled the HUB for your account, it's time to set up your Account Profile. Account owners and account admins have access to complete the Account Profile. You can find the Account Profile by clicking on your Main Menu > Settings > Account Profile. The Account Profile includes the following sections:

  • Account Name — The name that identifies your account and appears on your HUB page. This is the only required field for your Account Profile, and can only be updated by an account owner.
  • Location — Where are you located?
  • Website URL — Include a link to your website or social media.
  • Logo or Image — Upload your official logo or image. The optimal logo/image is 200px, square. The logo/image will display as a circle; use CatalogIt's photo-editing feature to crop and center your image, ensuring nothing is left out!

Web Publishing

After you have completed your Account Profile, click on your Main Menu > Web Publishing to toggle on Web Publishing and select your publishing preferences. Account owners and account admins have access to Web Publishing

At the top of the Web Publishing section is the toggle “Publish Catalog” to turn web publishing on or off. Now that your account is enabled for publishing, you can toggle it on and off whenever you'd like. For your first time publishing, make sure it is toggled on to preview your page!

There are four tabs in this section: General, Entry, Media, and Theme.

General

Manage how your account appears on the HUB. The Account Name, Location and Image/Logo will be populated from Settings>Account Profile, as described above.

  • Description — Give your account a nice bio! Share who you are and what you do. Tell your story!
  • URL Slug — The customizable section of your HUB link. The URL Slug defaults to your account name. For example, the account named Anytown Museum has a default HUB link of: https://hub.catalogit.app/anytown-museum. The customizable slug section is: /anytown-museum.

Select the information that you would like to have visible from your Account Profile. Show or hide your Account Name, Description, Location, Website URL, Logo, or Background/Banner. Hiding your Account Name will display “Anonymous”.

Entry

Select the Entry information you would like to include or exclude.

Choose your information from all available fields of information. While you can elect to include “All” fields by checking the “All” box, we recommend that you instead selectively choose the fields you specifically want to make available to the public.

Selecting fields of information to include in published Entries. In this example, “All” has been de-selected and the “Tags” field is not being included.

Media

Protecting Your Media on the HUB

CatalogIt safeguards your images on the HUB by utilizing “Web Quality” images, meaning they have a lower resolution than the original files uploaded to CatalogIt. This prevents visitors to your HUB from obtaining a copy of your media at original quality.

You can choose the images you would like to share and how they are displayed. Add an optional watermark to your images to help protect your media!

  • Published Media — Select Primary Image Only to publish the main image of each Entry, or select All Top-Level Images to publish all of the images and media attached to each Entry. Note- media attached in expansion panels, such as Condition, cannot be published.
  • Watermark —If you would like to add a text watermark to your images, enter your text within the text field, and select from the following options where it will be located:
    • Top
    • Middle
    • Bottom
    • Top-Left
    • Top-Right
    • Bottom-Left
    • Bottom-Right

Note: the size of the watermark is partially dependent on its length. The more text you add to the watermark, the smaller it will appear on your images.

Example of a watermarked image from Anytown Museum. The size of the watermark text is determined by the length of the text: longer text will be smaller, to fit within the image, while shorter text will be larger. The color of the watermark text will automatically darken or lighten depending on the background of the image.

Theme

Customize the overall look and feel of your HUB page.

  • Choose your background and accent colors to match your organization’s branding.
  • Adjust how your images are displayed, including visual styling and presentation.
    • Image Sizes — Share images as their Natural Size, or opt for a consistent, uniform look with Square Size.
    • Image Adornment — Present your images with Square Corners or with Rounded Corners.
  • A live preview window enables you to see your changes in real time as you make updates, so you can easily refine the appearance of your HUB before publishing.

The set-up of your HUB page is now complete! Next, we'll publish a Folder to see your chosen Entries.

Publishing a Folder

Publishing Occurs at the Folder Level

Publishing at the Folder level enables you to selectively publish your Entries. You cannot publish a Folder Group.

If it's your first time creating a Folder and adding Entries to it, please feel free to check out the following articles:

Creating and Using Folders and Folder Groups

Bulk Editing Entries

Account owners and account admins can quickly publish and depublish a Folder.

Publish a Folder

  • Select your Folder from the Main Menu.
  • Within the Folder, select the Action Menu in the upper-right corner.
  • Select Publish Folder.
A checkmark next to  “Publish Folder” indicates that it is published.

All of your Folders appear within your Main Menu. Folders with a globe icon are published online!

Note: You must publish at least one Folder, other than “All Entries,” in order to make your HUB page viewable to the public.

I published my Folders! Can I arrange how my Folders and Entries are displayed?

Folders are displayed in the app and on the HUB numerically and/or alphabetically based on their Folder name. To arrange Folders in a specific order, you can do so by adding numbers to the Folder name. In order for the Folders to collate, or order, correctly, make sure to add a leading zero to single digits, like 01, 02, 03, etc.

Entries on the HUB display numerically and/or alphabetically based on their Entry Name/Title. Entries can be displayed in a different order based on a published field, such as Entry/Object ID. Please reach out to us at support@catalogit.app if you would like to change the display order of your Entries on the HUB.

Unpublish a Folder

  • Select your published Folder from the Main Menu.
  • Within the Folder, select the Action Menu in the upper-right corner.
  • Select Publish Folder.
A Folder is unpublished when there is no checkmark next to “Publish Folder”.

Note: if you unpublish a specific Entry, that Entry will be unpublished in the current Folder as well as in any other Folder where it exists.  We recommend being very selective when unpublishing specific Entries.

Can I unpublish Entries within a published Folder?

Upon publishing a Folder, all Entries within that Folder are automatically published. You can publish and unpublish Entries within a published Folder by selecting your Entry, clicking the Action Menu, and selecting Publish

A checkmark indicates a published Entry.
